New Year, New Payroll: Why This is the Best Time to Switch (and How)
You’re invited to our webinar on November 21, 2024!
Have you been thinking about switching payroll providers? Or maybe using an online payroll provider for the first time? The beginning of the year is the best time to do it.
Why is January the best time to switch payroll providers? 🤷
By starting with a new provider at the beginning of the year, you won’t have to go through the hassle of collecting all your year-to-date and quarter-to-date information from your old provider or accountant. Your new payroll provider can start fresh for the new year.
With that in mind, the Square Payroll team will be hosting a webinar where they will cover all things payroll, making the switch, and other helpful integrations such as Shifts, time tracking, workers’ compensation, employee benefits, and more!
This is your golden opportunity to engage with Square Payroll specialists and ask them any questions directly!
How do you register? ✏️
Click the button below and use your Square login email address to register! Then join at the time of the event:
Plus, don’t forget to RSVP as ‘YES’ to let other sellers in the Community know you’re coming!
Can’t make it? Don’t worry! ☑️
An event recording will be distributed and published on the Seller Community where you can catch up at your leisure and leave any questions in the comments.
Have questions about Square Payroll already? 🤔
Leave them in the comments below and we’ll reply! 👇👇👇
By attending this event, you authorize Block, Inc., its successor, affiliates, subsidiaries, assignees, licensees to capture, record, and distribute the photographs and/or footage, including your voice, image, and likeness via any medium now known or hereafter devised, throughout the world, for any purposes whatsoever without the compensation, credit, or other consideration. My microscopic business pays "1099 contractors" for gigs. I've been paying them for many years over various platforms: Cash App (a Square company), Paypal and now Venmo. I've considered Zelle through my bank but they gouge even the tiniest 1-person operations as if we were large businesses.
Payroll services like Square has offered have always been too expensive for bells & whistles I don't need. I give my people simple payments and at EOY they get a 1099-misc or 1099-NEC, depending. Some of my people are set up with entities and EINs which typical payroll services typically lacks by forcing use of an SSN in the programming.
I could imagine ways to streamline my processes with more technology mediation but ultimately it's not that onerous most weeks.
If the price is too high, I might as well either pay my bank to use Zelle (which they offer free to personal accounts) or keep using Venmo for free. Persuade me Square has such a slam dunk ROI for a 1-person business like mine that pays anywhere from 0 to 20 contractors in a single week (usually about 4-5) with inconsistent need through out the year.

I have a super similar business to this and have the same issues. 20 events annual, about 40 contractors per event with about 10 that are first time staff members. I'm looking for a streamlined and affordable process.

Thanks for posting this! Also a massage business here, struggling with ALL payroll providers, including Quickbooks. Considering a switch to Square but I’m currently uncertain. Microsoft Excel and Venmo are my go-to because no one else seems to offer simple software solutions for simple businesses.

Hi @TheMassageTeam , @Clinton_Grider , @brbmassage ,
Thanks for your comments and for walking us through your thought process. Apologies for the delayed response here. I wanted to ensure I had all the correct information for you.
If you have a small business that pays contractors only, I understand the appeal of trying to take a “DIY” approach to payroll by using some of the peer-to-peer payment tools mentioned above. That being said, there are a few benefits of using a tool like Square Payroll over those methods. I will try and outline them for you below:
- Cost can stay low: If you are only paying contractors, Square Payroll has a contractor-only plan that allows you to pay-as-you-go. You would only pay $6 per person paid each month, but you can pay them as many times as you want within that month at no extra cost. Ex: if you pay one massage therapist once per week (4 times over the month), you are still only paying $6 that month.
- Reducing errors with tax calculations: Square Payroll will manage your payroll tax calculations and supply 1099-NEC forms to your team members at year end with the contractor-only plan. If you ever were to upgrade to the full-service plan then we also will file and pay your payroll taxes on your behalf.
- Easier accounting and reporting: Alongside the 1099-NEC forms that are supplied to your contractors, Square Payroll also makes recording and exporting payroll history records much easier. So you can keep track of all those payments you make over the year.
- We can scale with you as you grow:
Even if you start with contractors, over time it will be easy for you to start paying W2 employees or expand your team if you are already set up and running with Square.
*Using EIN instead of SSN for contractors - we have a workaround for this
- Even though it is not advertised in the current Square Payroll system, we do have a workaround that will allow you to enter an EIN instead of an SSN. You may still pay contractors with EINs by entering their EIN in the SSN field. It is not something we promote to all sellers since we are working on product improvements that will make this experience easier and more clear in the future. However, if you call our support center they can give you the instructions or you can DM me here on the Seller Community and I can provide them as well.
