How do I link an invoice to an appointment?

A client scheduled an appointment so I created an invoice from the Invoices tab. Their payment went thru, but the appointment on my calendar did not record it. When I manually recorded the payment, a new transaction was created. Now my transaction records are off. Is there a way to apply an invoice to an appointment(s) post-payment and/or link an invoice to an appointment pre-payment?

There isn't currently a way to Invoice a from your Appointments Dashboard, @cutch22, but I could see how that would be useful. 

 

You can check out with the Square app, however, if you're using the Square Appointments iPhone and iPad App. Hope that helps, let us know if you have any other questions. 

 

 

I have just started experimenting with Appointments, mainly because I believed I could automatically send invoices from the appoinment.  I'm disappointed now to see that this isn't a function and apparently never was.  Please pass along to your designers or whoever, that this would be a helpful function.  It would also be helpful to be able to invoice per client per month, instead of per service.  (ie., one invoice the first of the month for a recurring weekly service.)

I'm sorry for the disappointment @mytrombone, it's not possible to send an Invoice from the Appointments section of your online Dashboard. I'll certainly share your request for this with the Invoices Team, I can see how this would help to be able to send monthly invoices! 

 

I just wanted to mention here that if you're using the latest version of the Appointments app (iOS only at this time) you can send an invoice from an appointment: 

  1. From the Calendar section of the app select an Appointment you'd like to checkout.
  2. Tap Review and Check Out (you can add additional services at this point).
  3. Tap Charge > select Invoice.
  4. Review the invoice details > tap Send

Your customer will receive the Invoice by email and can pay online. 

  Hi, I have a concern. It seems that when I create an invoice for a client to pay, in order for them to book an appointment, I can't attach the paid invoice to the appointment that I created. It's preventing me from closing out appointments that aren't already prepaid. When when I do record payments, I believe its reflecting an inaccuragte amount. I believe it's basically showing that I was paid twice. Once when I created an invoice for a customer to pay. And then, second, when I go to an appointment on my calendar to close it out, I record the payment, and I don't think it sees that I was already Paid.

 

  So, it would be great if there were a way to attach invoice, to an appointment that I created, in order to show that it was paid. And, help to keep my reports accurate. I create invoices for clients because I require deposits, once the deposit is made, I then create then appointment myself. And, there's no way to currently attach the created appointment with the inoice, so that it can reflect payments, as they come in. Same occurrence happens when I create invoices for special orders or circumstances. This would be very beneficial if this could be made possible.

 

  Also, it would be great if when viewing sales reports, there were an option to have it populate a report from the first day of the month, to the current date. Instead of having to manually go in and do it. 

 

  I want to poin out that most of my work is done through the Appointments app. So, I'm unsure if these features already exist on the desktop dashboard.

I'm still pretty new to owning my small business and square. 

Is there any way to add an existing invoice to an appointment?  My client requested an estimate before we settled on a date. We are now at a place where they have accepted the estimate and we've settled on a date for our appointment. While I was testing the estimate/invoice feature out, it looks like Square allows you to create an invoice during checkout but I haven't found the ability to add an existing invoice to the appointment.  Did I do this backward?

Will the customer be paying by Invoice? If so - you'd really just want to create an Appointment for the Customer, and mark it paid when they pay the Invoice in full. There is currently not way to make an Appointment from your Invoice directly.

Is there a way to link an estimate or an invoice to a scheduled appointment, without entering line items again.

Unfortunately, for this, it is a feature request that we are tracking. The best way to do this as a workaround will be to create the invoice separately and share the link with them manually or just send the invoices via email. 

 

To share an invoice manually, after it is created, you will see a "share" button that will generate a link for you to copy and paste.

The title of this thread has been edited from the original: I sent client an estimate then turn it into an invoice but can't sync the day he scheduled his appt?

 

I love this system but a few flaws would like to get fixed.  First off for the first time I used the Estimates feature, it works well for getting a payment but does not allow you to access your calendar while doing estimate you should be able to put the dates you are making this proposals for.  I was not able to do this.  I turn an estimate into invoice and it was paid for but client who Is booked on that day it still shows he owes money and I cannot link his paid invoice to the calendar date he scheduled for which if it was done manually from my cell phone Im able to sync calendar and payments but not on computer.  This has been a glitch I notice for a long time but only way to make it work how I do is I book client on calendar then send them invoice from my cell phone from app I;m Able to do that and if client pays from that particular invoice It will show client already paid.  Now that I am discussing this ..... is it because I have wireless swiper connected to my phone? Must it be connected to PC ??? Please advise?
