Point of Sale: Why is the Owner passcode required instead of the Team passcode?

These are not improvements in my opinion... this is simply too much information that anybody using the system now has access to.  These reporting features should be exclusive to the Dashboard and to Owners/Managers, not the entire team.  And no, I can't disallow Reports completely because my team needs them to cash out at the end of the day.

 

I have tried to enable Team Permissions but it doesn't function properly.  On multiple occasions, I've been woken up in the early morning because the POS decides to forget the Team passcode and instead requires the Owner passcode.  Tech support advised I uninstall/reinstall the app, among other things -- all of which I did -- and it worked for 2 days then stopped, so I had no choice but to disable Team Permissions. 

 

The only other option appears to be to pay a monthly fee for more extensive permissions, which shouldn't be required to keep all this data hidden.  Doesn't anyone else feel like this is a major invasion of privacy?

@Helen This is what I was told by Tech Support regarding Team Permissions: 

 

"The POS system has a time out feature where after awhile it will ask for the owner passcode to essentially "sign" back into the system, which then unlocks it so then everyone else can log in to check out customers.  It happens if there has been any update to our systems (which happens quite frequently), but also for security reasons so nobody can accidentally ring out on it that shouldn't be."

 

This makes the feature entirely useless because Owners need to be able to set up systems that are not dependent upon them being there all the time.

 

So, like I and many others have said, now everyone can see everything!  It's a breach of privacy for the Owner.  Transparency is nice, but when the Owner is the one paying the bills, he or she should be the one deciding what and how much to share.

@RoasterChica I've started another thread for your most recent post so I can respond directly and we can track this Team Management/Passcodes and it won't get lost in the lengthy Sales Report Product Update post!

 

There are timeout settings: Never, 30 Seconds, 1 Minute, 5 minutes and you should see this option from the Settings > Passcodes section of the app.

 

If you've selected 'Never' but the app is still prompting your team to sign in unexpectedly it would be great if you could make a note of the date and time that it happens, and call our team to report this. The app shouldn't be asking for the passcode at random. (I'm sorry to ask you to call again but they can escalate this to our engineers.)

 

However, it sounds like this might be happening most often after the Point of Sale app has updated? Have you tried disabling automatic app updates from your iPad? That way you could update the app when you're at your business location, or allow a manager to enter the Owner passcode on your behalf after updating the app?

 

I really appreciate your feedback so any more information I can share with the Team Management team will help them to improve this feature!

Hi @Helen,

When I finally had a chance to access the iPad and look into it yesterday, if I enable Passcodes, it's already defaulted to Never time out.  I plan to enable it to test one more time, but didn't want to do it over a busy weekend.

 

We've also had automatic updates disabled for a long time since a fiasco a couple years ago that had me at my wits end between Square and Apple.

 

Please let me know if you have any other ideas.

Thank you for testing this again @RoasterChica! I absolutely appreciate that you need to wait until after the weekend. 

 

In the meantime I've updated the title. Let me know if it's clearer now - happy to change it again. The clearer the better so that if anyone else is experiencing this they can chime in.

Hi Helen,

 

I've decided not to spend further time on it because even if it were to function properly, half of my staff are closers and need the Reports.  

 

I'm going to stand by my initial position that by making all historical reports available -- without an option to limit that data -- is a violation of privacy for business owners.  Historical sales reports belong back on the Dashboard and not on the POS system.  

 

I would greatly appreciate if you could escalate this issue so a change can be made.  It shouldn't be that hard to limit IPad data to only the current week.

I understand @RoasterChica, I wish I had better news. I have escalated this to the Point of Sale team and they are exploring how to improve the team pemissions to better restrict access to reports. We'll share any updates as soon as we can. Thanks again for your patience with this.

I am having the same problem.  My staff can NOT run their end of shift report WITHOUT using MY PassCode!!!

Even when I have turned on the Team Passcode??????  Help US!!!!!!  Yes my staff also has to much of my business information.

Yes, I am also having this problem - team permission passcode just stopped working and only my owner passcode works - very frustrating! And yes, I should be able to have more control over this and more privacy!
