Square for Restaurants: How do I create house accounts?

I am in my trial period for square resturaunt and so far my main concern is that I do not see anywhere to create house accounts.  I typically allow my loyal customers and employees to run ongoing house accounts.  I notice some of the questions on here have mentioned this since early 2018....any idea on an eta for this option?

I have house charge accounts for my employees & their balance is deducted from their paycheck. I have my staff pay as an “other” tender with a description that includes the employees name and HCA. From the dashboard you can view the transactions. I use QuickBooks online & enter the transactions as invoices on a their customer account. So, it’s all handled by the accounting software. I’d like to see house charge accounts handles like gift card accounts. The employee or customer basically gets a card and pays with it. There’s a running balance, accessible from the POS, dashboard, & a dedicated landing page. Then invoices could be sent directly from Square or sent to payroll as a deduction. Just a thought…

Basically I have two situations that fall under the same questions.  One, I have someone that did work for me who, in lieu of payment, would accept store credit. 

 

Two, I have someone I pay a small fee each month who would also accept store credit in lieu of payment.

 

So how do I set this up in Square so that whenever they buy something, it comes off of a pre-set account with a fixed value?

There is no built-in way to set up credit for a specific customer, but you could issue a gift card that they can then use for payment.  You apply the amount of credit you want to the gift card when loading and they just use the gift card in lieu of their credit card at checkout.

That sounds like  a reasonable solution.  Would that be a physical giftcard?  How does it work?

The workaround that @VanKalkerFarms mentioned with Square Gift Cards would be the only thing I could think of as well. 

 

You can also use variable discounts when they check out that equals their credit amounts. 

I am racking my brain trying to figure out this soultion as well!!!

But I need to ask.  When you fill up this gift card to use for orders like (grubhub/house act)

you need to "Fill that card first" well when you "Fill that card "with a desired amount,  Doesn't it reflex on on your sales for the day?  Like you sold that "Gift card" ?

As someone who uses gift cards, remember that there is nothing for free here.

 

Egift cards, while you do not need to purchase the card, costs 2.9% + .30 cents to load each time.  Once you purchase a physical gift card you can load it and re-load it without any additional charges.  

 

Yes the gift cards show up as a gift card sale at the time you load the amount.  It shows up as a purchase for the items you ring up but the $moeny is listed on your sales report under gift cards - Cash, Credt Cards, Gift Cards.

We operate cafes within office buildings and have multiple house accounts in each location where authorized personnel sign for their meals daily and the company pays monthly. Can this be set up within Square POS?

You can set up a customer (account) and simply bill the meals to that account and send invoices and post payments.

Does the sale not register until it is collected?  Maybe that is a setting for cash versus accrual basis accounting?
