Feature Request: "Mark as Shipped" option and a space to add tracking number to paid Invoices

I would like to suggest a feature for invoices that is already available for website orders. We currently have the ability to keep up with the progress of our website orders, add tracking numbers for shipments, etc. I do most of my business through invoicing, so unfortunately I do not have the ability to do any of these things. Would it be possible to apply the same features to the invoice tab on the app?

PLEASE add this feature to invoices. It's ridiculous to have to e-mail our customers separate from the invoice to inform them of their shipping and tracking info, and not be able to see myself the same information from the invoice itself.

 

Similarly, why can't we create shipping labels for invoices? I'm really hoping we're just overlooking the obvious here. Instead, we've had to create a hidden page for our store and, for every invoice, log into that hidden page, put in a bogus order for "Shipping Label", then go to Square Online (Weebly), to create the label. That's a TON of extra and disconnected steps, not to mention the need to even set up the additional page, fake item, etc.

 

I really don't understand how features like this (a) don't exist and (b) take an inexcusable amount of time to implement.

If you are using a Square Online website to allow customers to purchase items from you online, you are able to mark orders as ready for pickup or mark as shipped, @alfoster163.

 

It isn't possible to take these actions using Square Invoices. If something changes, we'll update this thread!

You are correct that there isn’t a specific shipping option and that you have to enter shipping as a line item. Hopefully this will be fixed quickly. 

 

For the the time being, for wholesale discounting, you can have line item discounts. From the dashboard, click on the customize link (if the screen doesn’t pop up immediately when you enter the item) and manually add the discount here. For the Point of Sale or Invoices app, you can tap on the item and scroll down to add a discount. This does add some time for invoice creation versus one discount at the end, but this way your shipping isn’t discounted.

There isn't a native way to do this yet, unfortunately.

 

What I do for flat rate shipping is have an item named Shipping with a variable price. I add this to the invoice when needed.

We have people buying from both our store (Thanks, Square!) and through invoicing. On orders within the store, we can append a tracking number to let customers know their order has been shipped and the ability to track the order. Is there a way to do this with an invoice? Any work arounds?

@dgk - Appreciate the post! We don't currently provide a method for updating Invoice customers with any notifications (other than the original bill). Outside of sending a email to your customer, I can't think of any other workarounds. 

 

Having said that, our Online Store product does offer this functionality. Have you looked into this at all?

 

 

We already use the store (Thanks!). This is why we asked the question. We did send an email using the marketing feature. We just jury rigged it a bit to make it work. This would be a useful feature. Either adding shipping to invoices and/or being able to email a customer singularly.

How do I mark an invoice shipped/completed after payment?

The only way that I can think of would be to change the title of the invoice.  Change it to something like "Gift Package for Terry - Completed".  The customer will be notified of the change on the invoice.  I don't think there's a button you can click to show which orders you've readied and which ones you haven't (the online store has this, but I don't think that invoices do).

@glittersass, I also wanted to point out that you can mark an invoice as paid if your buyer uses an alternative payment method (e.g. cash or check).

 

To do this:

  1. Head over to your Invoices tab of your online Square Dashboard.
  2. Select the invoice that needs to be marked as shipped/completed. 
  3. Select Record Payment and then select the payment type. If you processed your client’s payment with the Square app or Virtual Terminal, select "Square Point of Sale" to prevent duplicate reporting. Keep in mind, these will not appear as Invoice transactions in sales reports.
    4. Click Confirm.

Is there a way to do this from a mobile device like my iPhone? If so, I can't seem to figure it out.

Update 2020: You can mark an invoice as paid from the Square Invoices or Square Point of Sale app:

 

1. Tap Invoices from the navigation menu.
2. Select the invoice in question > Add Payment.
3. Select the amount and tap > Next
4. Select the payment type used. Tap Cash or More for other options.

 

Not at the moment, @mschuetze. Currently, Invoices have to be marked as paid from the Dashboard. Definitely see what that would be useful though; thanks for the feedback!

@Spenser @mschuetze The fact that you can't mark an invoice paid from mobile is very frustrating.  Is there any logic we should be aware of as to why this is the case?  Marking as "paid" seems to be the most basic of tasks that would be primarily available before offering other fancy options.

 

Please offer the logic behind this and can you let us know when this functinality will be available?
