Cash Drawer report and Drawer Opening to prevent Employee taking cash!

The Cash Drawer Report is great for employers using Square Basic account, BUT I WOULD LIKE TO MAKE A SUGGESTION TO MAKE IT BETTER!!

 

In my experience, the Cashier should NOT know how much cash to expect in the drawer until he/she counts the money and input the amount.

 

What I am suggesting is that when the Cashier does the Drawer report, the drawer opens so he/she can count the money in it. Once counted, amount should be input and then confirm to see the Totals and Differences, and print the report.

 

So the timing or moment of when the drawer opens should be before the report, NOT AFTER.

Yes, that is my concern.

 

If an employee knows exactly how much cash should be in the drawer before counting it, any extra money can be taken at no risk of being discovered by employer.

 

The Drawer Report is fine, just need to be tuned up. If you ask me for the steps, it would be the following:

 

1- Reports: Drawer Report. Employee to confirm he/she wants to run the drawer report, so the drawer should open for counting cash. 

2- After that, employee should input the amount in "Expected In Drawer".

3- Then, press "End Drawer" and "Confirm End Drawer" to generate the "Drawer Report". All totals and differences are shown in that report with zero chances of altering or taking any cash away. Done. Simple!

Hi @ntmaingate. I'm jumping in for @Tom today!

 

I checked in with one of our Hardware specialists to see if they had any insight. There's an employee permission called "view expected amount in cash drawer". If you disable that permission, it will prevent employees to see what's expected and prevent theft.

 

Let me know if you run into trouble here.

I tried as requested, I disabled the permission "view expected amount in cash drawer", it helps so they do not know how much cash is expected, but still, the employee cannot input the amount of the drawer because it opens AFTER the amount has to be entered.

 

So basically I am asking to allow the employee to open the drawer when he/she starts the drawer report, count the money, input the amount and then confirm end of report.

@ntmaingate - jumping in for Nika here. 

 

Ah, I see your point. In that case, this is a limitation with Cash management but I can see how this would be helpful in preventing theft. To circumvent this - I suggest giving only trusted employees permission to manage the cash drawer. This ensures the individuals opening/closing the drawer sessions keep your money safe and sound.

Yes, but sometimes cash is very tempting even to "trusted" employees. I appreciate you pass this matter to the corresponding team for improvement.
