Square for Restaurants: How do I create house accounts?

Square for Restaurants: How do I create house accounts?

I am in my trial period for square resturaunt and so far my main concern is that I do not see anywhere to create house accounts.  I typically allow my loyal customers and employees to run ongoing house accounts.  I notice some of the questions on here have mentioned this since early 2018....any idea on an eta for this option?

Re: Square for Restaurants: How do I create house accounts?

I have house charge accounts for my employees & their balance is deducted from their paycheck. I have my staff pay as an “other” tender with a description that includes the employees name and HCA. From the dashboard you can view the transactions. I use QuickBooks online & enter the transactions as invoices on a their customer account. So, it’s all handled by the accounting software. I’d like to see house charge accounts handles like gift card accounts. The employee or customer basically gets a card and pays with it. There’s a running balance, accessible from the POS, dashboard, & a dedicated landing page. Then invoices could be sent directly from Square or sent to payroll as a deduction. Just a thought…

Hi @still_waiting - thanks for reaching out to us here on the Seller Community. We appreciate you checking in and sharing your concern.

We don't have a shareable timeline on this feature just yet considering this product is still in developement. We field thousands of feature requests each week here on the Seller Community, and bringing these features to fruition often takes an ample amount of time and effort from our engineers. We want to ensure that our releases are not just surface level products, but the best all-around resources to help you grow your business.

Our Product Teams do have a road-map for future additions to our offering, but the nature of our work includes trial, error, and set-backs. So sharing a timeline would be far from accurate and more than likely cause more confusion and angst.

We will continue to push out news regarding this update directly on this thread. We appreciate your continued patience!

Wondering if there has been any update on this front.  An ETA at the least?

Question - What's the best way to prepay a house account?

I have a coffee shop and there's a local business that wants to buy a coffee and donut for every teacher in the school district. He's coming in tomorrow to depost $500 with me.

I just switched to Square and don't have phyiscal gift cards yet. I've thought of 2 options:

1 - Have him buy an eGift card and then link it to his profile. When a teacher comes in, we can "pay with card on file". (I'm not positive Square will let me do this. I also don't know if I can do split payment types when someone is buying more that 1 coffee and 1 donut)

2 - Collect the money as an eGift card and then set up an open $ discount code. My baristas would use it to cover the cost of the drink and donut when a teacher comes in. (seems like this would bugger up my reporting)

Any thoughts on these or a 3rd suggestion?

Thanks!

Hey @thecreamerymm,

I moved your post to an existing thread for this question.

There's some suggestions and options throughout the thread you can read here.

Super Seller

Since they are paying ahead you could set their 500 aside and setup an open ticket called “ teacher appreciation “ in the register. Teachers come in all day and get their items and it’s added to the open ticket. At end of day you close out the open ticket, pay with the deposit they left, send them their recipet, have them come by for their change

FYI - At the suggestion of square restaurant support, I ended up having the guest buy a $500 eGift card. The card linked to his profile. When someone bought the combo my baristas used
"pay with a card on file" to complete the transaction.

He liked it because he got an email anytime a teacher redeemed a voucher.

It slowed the check out process by a few keystrokes but a pretty good solution all in all!

Is there an option for a customer to prepay a set amount and square to keep record of it.  Example... a company gives $400 up front and tells key staff members if they visit my store, charge it against the account.

It is now Dec 2020... any update on allowing house accounts for Square for Restaurants? We havea resort and our guests stay a week or more... they "tab" everything and pay at end. HELP! We are just getting started this week with SfR! Excited but this has my staff in a tizzy cause we can't figure out a real nice way to get multiple dining bills, other stuff tabbed for the week!
