Q&A

 

 

Question: Does associating an organization TIN remove the requirement for an individual's Social Security number?

 

Answer: No, a SSN, DOB, and full legal name for all account holders is required by law. Read more.
 

Question: As a non-profit we need to train our volunteers to use the Square app. What is the best way to train them? Would it be appropriate to set up a training account so as to not put the transactions in the main account?

Answer: We do not recommend creating a test account, as it's still a real Square account registered to your name. While we don't have a Demo/Test mode, you can always take a payment for $1 and issue a refund to balance your books.

Question: As an organization, we would set up Treasurer as admin. How difficult is it to change this as officers serve for a set amount of years?

Answer: A Square account cannot be transferred between owners, as it's associated with the SSN of the person who created the account. We recommend choosing a person in the organization who will be there the longest, then assign Administrators. Read more.

Question: Can square used for medical office setting? we collect copay from patient

Answer: Yes! Licensed healthcare providers and pharmacies can also accept HSA and FSA cards with Square if the business type is set to Medical.

Question: Why there is no deposit on Friday? If we used Next Day Deposit that takes 1 to 2 business days and take a payment on Wednesday, it would be deposit on Friday or Monday?

Answer: A payment processed Monday - Thursday before the 5:00 p.m. PT cut-off will be deposited the following business day according to our Next Day Deposit schedule. Learn more about Square's deposit options.

 

Question: Is the only way to add categories of users of the Square account (i.e. different staff people) is to pay for Employee Management? And do I understand correctly that is $5 per month per user?

Answer: If you'd like to set specific permissions for employee roles and have the ability to track sales, timecards, and more, you will need to subscribe to Employee Management. The cost is $5/mo per employee.

Question: If I only need for multiple employees to use the Square reader at various events, can I accomplish that without having to pay an additional fee though?

Answer: You do have the option to set up volunteers and employees as Mobile Staff for free. This allows your volunteers to use Square at your event and accept payments on your behalf.

Question: Can you please explain the effective use of categories vs items.

Answer: Categories are useful for reporting and speeding up your checkout line. This helps employees quickly search items by category and gives you more granular reports in your online Square Dashboard. Modifiers enable you to customize your orders and sales -- think toppings, substitutions, etc..

Question: Is there a reason that at end of sale completion that the screen to request receipt doesn't always show up?

Answer: Yes. Whenever a customer has already requested an emailed receipt from your business (or another Square seller) after using the same payment card, they'll automatically be sent a digital receipt. This helps speed up your line and ensures they received a receipt from you for their purchase.

Question: Does square accept Mastercard and American Express?

Answer: Yes! Square accepts all Visa, Mastercard, Discover, and American Express branded credit, debit, and gift cards. Learn more.

Question: Can you set up Square to provide monthly and yearly statements?

Answer: You will always have your entire payment history, including fees, deposits, refunds, etc., available to you for any period of time up to a year from your online Square Dashboard. Learn more about summaries and sales reports.

Question: I charged $25 as a test transaction. 2.6% + $0.10 of 25 is .75 cents. How does this get computed?

Answer: For processing fees, we round to the nearest $0.01. For example, if you accept a payment for $10.00, we will deduct fees of $0.26 + $0.10 = $0.36. Learn more about rounding of fees.
