Reimporting item list - images lost, tracking inventory overridden

Hi All

 

We have over 4,000 items on our inventory list and we need to change the naming convention. I wanted to export my current list and rename each item + add description in excel. A few things:

 

1. Will all of the images I have uploaded be removed?

2. Will all of the tracking settings and reorder amounts I have set up be overridden to 'not tracking' and '0'?

3. I realise my inventory will be out of date however I am doing a stocktake next week so this is okay

I've included my responses to your questions below:

1. Correct, images are removed when making any changes to your Item Library via the bulk import tool, whether you select to modify or replace existing items. You would need to add each image again individually.
2. The changes that will apply to items are reflected in the column headings of the excel template. After testing this on my account, I can confirm that the tracking settings are not impacted and the stock remains unchanged unless you specifically change this in your template before importing. In terms of the reorder setting though, I'm not too sure but I assume this wouldn't be impacted. We suggest running this question by a retail specialist in our support team for further clarification.
3. Perfect timing then, it sounds like it's a good opportunity to update your inventory.

The best practice is to first export a copy of your item library and save multiple backups. Keep these troubleshooting steps as a reference when you're preparing to import.

Does this mean Square recognises the imported items and does kind of a merge rather than an overwrite?

Hi @SarahMarsh, when using the import tool in your Item Library, you have the option to select how you would like to update your item library. The two options available are to modify your item library or replace your item library.

 

See below for the difference between these options.


Modify Item Library
Add new items and update existing ones. Existing items will be revised, not deleted.

Replace Item Library
Overwrite your existing items. All items will be deleted and replaced.

Keep in mind, that with either option, you will still be required to upload all item images again once the new information has been imported.
