Feature Request: Option to Create Invoice with Zero Balance

Because I use square to track my inventory, I need to be able to create an invoice that has a zero balance (for a few reasons).  First, if I am donating product, I need to track that through square. I also want a hard copy record of this donations.  Secondly, if I do a product trade with someone, I want to indicate that on my invoice (again to track my inventory). When I have done this, square tells me that inovices need to be at least $1.  WHY???

I totally agree.  A workaround that I have found is you can create a $0 transaction through the *checkout* process in the app.

 

I tap *Checkout,* tap the items you want - if they are testers or for personal use, I add myself as the customer to the checkout.  If they are a gift, I add the person they’re being gifted to.

 

Then I tap on each item and *Comp* the item - and you can create different reasons for the comp that make sense for you.  I have created comps for *testers,* *gifts,* etc.

 

Once you’ve comped each item, the balance will be $0.

 

It then allows you to *record a $0 payment.*

It will ask you if you want to send a receipt - I always choose no.

 

This process will deduct the items from your inventory.  And you can search the *customer* (usually myself) for a transaction history to see what items have been “purchased.”

To clarify, "ring a sale" means to do so in the Square POS app? Yes, I see that works around the issue.

 

Why is it not possible to have a £0 Invoice though? That seems an unnecessary limitation. 

I am also looking for a $0 invoice but for a different reason.  We sell machines and occasionally get a second hand one that we refurbish and sell.  Adding these parts to the end-customer invoice only confuses them, so we need to keep the list of parts used separate. To keep our inventory count correct, I would like to create an invoice for the parts used in refurbishing and then make the total $0. Making the invoice for $1 screws up our accounting, especially as taxes are applied.  At present we are forced to just do an inventory re-count for the parts used.  This is not satisfactory as it makes it impossible to track parts usage.  Is there an alternate way that I can record the consumption of parts for internal jobs so that my inventory and usage counts remain accurate?  They only way I could find is through an invoice, but would love any method that works.

The workaround I use is through the mobile app, use the “Checkout” feature.  You can select the items (or parts) to add to the “sale,” assign yourself as the customer, and then “comp” each item so that the total is zero.  It will allow you to close it at $0 and it will track the items in your inventory/item library.

 

I’ve only been able to do this through the mobile app though - not from a desktop or laptop.

I have to agree with the requirement for a $ -0- invoice as well as issuing receipts... I use square for tracking appointments, invoicing services and receipts as well as inventory of items necessary for clients. It's considered a responsibility in the US as well as many other cultures to do Pro Bono work. I need to track that work for tax purposes and of course as the gentleman said, to track inventory properly.... please adjust so that one can invoice and receipt for $ -0- amounts in the next iteration of Square.... thank you.

How come I cannot send a Zero dollar invoice when I am comping a service that is included by another invoice but want to demonstrate value. E.g. I am giving you a $300 service discounted by 100%

I send a $1 invoice, and then automatically enter payment "other" so that it shows paid.  It's clunky but is the best solution that I could come up with.
